Scope and Contents

This collection documents the activities of the unit of Student Affairs and all the departments that fall within their jurisdiction and spans the years as early as 1874-2024 with the bulk from 1964-1980 and 1990-2017. The changes of the unit's organization are noted within the Sub-Groups and Series descriptions. Included in this record group are the following document types: correspondence, meeting agendas/minutes, reports, schedules, programs, surveys, publications, publicity materials, memos, rosters, handbooks, manuals, newsletters, schedules, and statitics.
The records are arranged in 3 Sub-Groups, which include Sub-Group 1 (Vice President), Sub-Group 2 (Associate Vice President and Dean of Men, and Sub-Group 3 (Athletics). Sub-Group 1 is arranged in 10 series. The series include Series 1 (Administration), Series 2 (Dining Services), Series 3 (Health and Emergency Services), Series 4 (Multicultural Student Affairs), Series 5 (Career and Community Engagement Center/Career Education), Series 6 (Student Publications), Series 7 (Student Senate/Student Association), Series 8 (University Union and Student Activities), Series 9 (Student Personnel), and Series 10 (Department of Recreation & Wellness). Sub-Group 2 is arranged in 11 series. Records in Sub-Group 2, Series 3 give an excellent historical insight to the changes in culture and campus regulations. Some of the physical newspaper clippings do not include the name of the newspaper, and some are identified with the following abbreviations: PO (Public Opinion, Chambersburg), PAT (Patriot News, Harrisburg), and NC (News Chronicle, Shippensburg). The contents of each series are arranged in alphabetical or chronological order, which is noted in the series description.

Overview
The series is divided into 4 Sub-Series: Sub-Series 1 (Minutes), Sub-Series 2 (Committees), Sub-Series 3 (General Business), and Sub-Series 4 (Student Organizations). The Student Association was formed in 1962. It was renamed SGA-Student Government Association in XXXX. The association is a governing body that enhances relations between the students, faculty, and administrators; empowers students to have some control over school policies; and to ensure privileges, rights and responsibilities for all students. All registered undergraduate students are members of the association. Graduate students have their own association/senate. It appears that the Student Association transitioned from Student Activities that was in place to support student groups as early as 1957. The Senate acts as the executive and administrative agency of the association and is the liaison between the students and president. The Senate of the Student Association had their first official meeting on May 15, 1962. The minutes of April 17, 1962 introduce Rick Montgomery as the “first president of the new Student Association.” By May 1962, the minutes were called the “Minutes of the Senate.” In late 1991, the Student Association became the Student Senate and then at a later unknown date, the Student Senate title was changed to Student Government Association. Student Government fell under the division of the Vice President for Student Affairs until 2019 when it was moved under the University Union/Student Activities umbrella. Some of the minutes in Sub-Series 1 also contain committee reports. The minutes in Box 1 are bound, and there is one bound volume in Box 2. In Sub-Series 2 and Series 3 there are some materials within folders that pre-date the official start of the association, but all the similar records were kept together to prevent confusion for researchers. In Sub-Series 2, Box 2b, Folder 2 there is extensive information about parking decal fee increases in 1989. Files in Sub-Series 2 include agendas, minutes, correspondence, news clippings, and student surveys. Box 1, Folder 9 in Sub-Series 3 contains undated budget documents that were kept in this folder because they were found among those dated 1985-1989. Sub-Series 4 is a collection of formation sheets, club constitutions, student association charters, fundraisers, and events of various student clubs and organizations. There were several organization name changes that include Students Advocating LBGT Equity (SALE), which changed to Students Advocating for Equality (SAFE) in February 2014. Entrepreneur Business Opportunity Services of Students (EBOSS) changed to Distributive Education Clubs of America (DECA) in March 2011. Students in Free Enterprise (SIFE) changed to ENACTUS in September 2013. Big Brothers/Big Sisters changed to Big Ship Little Ship in 2009. Shippensburg Partners changed to IMPEL between 2005-2006 and changed again in 2011 to Shippensburg University Public Relations Agency (SUPRA). The AIDS Communication Team was changed to Shippensburg Wellness Awareness Team (SWAT) between 1994-1996.

Sub-Series 1 is arranged in chronological order, while Sub-Series 2 and 3 are arranged in alphabetical order.
